Terms & Conditions

Sussex Rustic Table & Chair Hire is a trading name of Great British Bell Tents Ltd.

By paying a deposit or otherwise confirming a Booking with us, you agree to these Terms & Conditions.

1. Definitions

In these Terms & Conditions:

  • “We”, “us” and “our” means Great British Bell Tents Ltd trading as Sussex Rustic Table & Chair Hire.
  • “You”, “your” and “the Hirer” means the person, business or organisation making the Booking and hiring the Equipment from us.
  • “Equipment” means the tables, chairs, chair pads and any other items or accessories supplied by us as part of the Booking.
  • “Booking” means the agreed hire of Equipment and any associated delivery, setup or collection services.
  • “Event” means the wedding, party, function or other occasion for which the Equipment is hired.
  • “Hire Period” means the agreed period during which the Equipment is hired to you.

2. Booking & Payment

  • A 25% deposit is required to secure your Booking and reserve the Equipment for your Event date.
  • The remaining balance is due 28 days before the Event.
  • Bookings made within 28 days of the Event must be paid in full at the time of Booking.
  • A quotation does not reserve Equipment or your Event date. Your Booking is only confirmed once the required deposit has been received.
  • Please check your Booking details carefully and tell us promptly if anything is incorrect.

3. Cancellation & Amendments

  • You may cancel your Booking up to 28 days before your Event and receive a full refund of all payments made.
  • The remaining balance is due 28 days before the Event.
  • Once the Booking is within 28 days of the Event and the balance has been paid, no refunds will be given for cancellations or reductions to the order.
  • We will accommodate additions or other amendments wherever possible, subject to Equipment availability. Any additional Equipment or services will be charged accordingly.

4. Hire Period

  • The standard Hire Period is 24 hours.
  • Longer Hire Periods may be arranged with us in advance.
  • Additional days are charged at 10% of the original Equipment hire price per additional day.
  • The Equipment remains our property at all times.

5. Delivery, Setup & Collection

  • We deliver the Equipment to your venue and collect it following the Event.
  • We do not offer dry hire or customer collection.
  • You must provide suitable vehicle access, parking and a safe route between our vehicle and the location where the Equipment is required.
  • Standard access includes a carrying distance of up to 25 metres from where our vehicle can safely park to the location where the Equipment is required.
  • You must tell us in advance about anything that could materially affect delivery or collection, including stairs or steps, carrying distances greater than 25 metres, restricted vehicle access, parking restrictions, difficult terrain or anything else that could significantly increase the time or labour required.
  • If we incur significant additional costs or labour because access information supplied to us was incorrect or incomplete, we reserve the right to invoice you for the reasonable additional costs incurred.
  • If we reasonably consider delivery, setup or collection to be unsafe, we reserve the right not to proceed until a safe alternative can be agreed.
  • The delivery and setup area must be accessible and ready when we arrive.
  • You or your nominated representative must check that all Equipment is present and in good condition before our team leaves the venue. Any missing, damaged or incorrect Equipment must be brought to our attention at this point.
  • Children, guests and animals must remain clear of our working area while Equipment is being unloaded, installed or collected.

6. Responsibility for the Equipment

  • You are responsible for looking after the Equipment throughout the Hire Period.
  • The Equipment must be kept secure, dry and protected from rain, adverse weather and anything likely to cause damage.
  • Tables, chairs and chair pads must not be left outside overnight or exposed to unsuitable weather.
  • Tables and chairs must be positioned on suitable, level ground and used only for their intended purpose.
  • Equipment must not be climbed on, stood upon, misused or altered.

7. Chairs

  • Our chairs have a maximum user weight of 18 stone, approximately 114kg.
  • This limit must not be exceeded.
  • Chairs must be positioned on a stable, level surface with all four legs correctly on the ground.
  • Chair pads must be kept dry and protected from rain.

8. Damage, Loss & Additional Charges

  • We do not take a security deposit.
  • Our Equipment is hired on the basis of trust and goodwill, and we ask that you look after it as if it were your own.
  • Reasonable wear and tear will not be charged.
  • You are responsible for loss, theft or damage caused by misuse, negligence, failure to follow these Terms & Conditions or failure to take reasonable care of the Equipment.
  • You must tell us as soon as reasonably possible if any Equipment is lost, stolen or damaged.
  • Where Equipment can reasonably be repaired, we reserve the right to invoice you for the cost of repair.
  • Where Equipment is lost, stolen or damaged beyond economical repair, we reserve the right to invoice you for the reasonable replacement cost.
  • Current replacement costs for our principal Equipment are:

Rustic Table: £200 each

Cross-back Chair: £70 each

  • You will also be responsible for reasonable additional costs incurred as a direct result of information or arrangements provided by you, including parking fines or additional delivery and collection costs caused by access restrictions that we were not told about in advance.
  • Any such charges will be invoiced following the Event and payment will be due immediately upon receipt of the invoice.

9. Weather

  • Unless we specifically confirm otherwise, the Equipment must be kept dry and protected from adverse weather.
  • You are responsible for ensuring suitable protection is available throughout the Hire Period.
  • If weather conditions mean that the Equipment cannot reasonably or safely be delivered, installed or left at the venue, we reserve the right to alter or refuse installation.
  • Damage caused by Equipment being left exposed to unsuitable weather may be charged to the Hirer.

10. Access & Parking

  • You must ensure that we have suitable access to the venue and somewhere appropriate and lawful to park our delivery vehicle.
  • Our standard access allows for a carrying distance of up to 25 metres from where our vehicle can safely park to the location where the Equipment is required.
  • You must tell us in advance if there are stairs or steps, carrying distances greater than 25 metres, restricted vehicle access, parking restrictions, soft, uneven or difficult terrain, or anything else likely to make delivery or collection significantly more difficult.
  • Any parking permits, venue permissions or access arrangements required for delivery and collection must be arranged in advance.
  • If we receive a parking charge or fine because we followed parking instructions provided by you or the venue, the cost will be invoiced to you and payment will be due immediately.

11. Safety

  • We will take reasonable care when delivering, installing and collecting the Equipment.
  • Our team will assess the delivery and installation area on arrival.
  • We reserve the right to refuse to install Equipment where we reasonably believe the location, access or conditions are unsafe.
  • You must use the Equipment safely and only for its intended purpose.
  • Equipment must not be dismantled, modified or moved in a way that could make it unsafe.
  • If any item appears damaged or unsafe during the Hire Period, you must stop using it immediately and contact us.

12. Circumstances Beyond Our Control

  • We will make reasonable efforts to fulfil your Booking as agreed.
  • However, we will not be responsible for delays or failure to perform our obligations where this is caused by circumstances outside our reasonable control.
  • This may include severe weather, flooding, fire, accidents, road closures, significant transport disruption, vehicle breakdown, government restrictions or other exceptional circumstances beyond our reasonable control.
  • Where this happens, we will work with you to find a reasonable solution wherever possible.

13. Liability

  • Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited.
  • We are not responsible for loss, damage or injury resulting from Equipment being deliberately misused, improperly moved, altered or used contrary to our safety instructions or these Terms & Conditions.
